Exhibitor Information

Location

The exhibitor area and tables will be located in Sapphire CD ballroom on the 4th floor of the hotel.

Setup & Tear Down

  • 9/20 - 3:30 pm to 5:30 pm- Exhibitor setup (early registration begins at 4:30, welcome reception begins at 5:30)

  • 9/21- 7:00 am to 7:30 am- Exhibitor setup (breakfast and registration begin at 7:30)

  • 9/22- 1:30 pm to 3:00 pm- Exhibitor tear down

Booth Logistics

We will have a 6’ x 30” table and chairs available for you at the conference.  There will be limited space on either side of the tables, but room behind your table for banners and a backdrop. Should you have any extra requirements such as power, monitor(s), laptop, etc. please contact the hotel’s in-house AV/IT provider at sdhiltonsales@encoreglobal.com

Shipping & Receiving

Shipping and receiving of packages will be handled by the The UPS Store located inside the hotel. Pricing is based on weight and applicable to all incoming and outgoing shipments.

Multiple packages within a single shipment should be sequentially numbered, i.e., 1 of 3, 2 of 3, 3 of 3, etc. All materials should be addressed as follows:

Exhibitors are encouraged to contact UPS in advance of shipping their items to the hotel with any specific questions.

Due to limited storage, the hotel asks that you do not ship items for receipt sooner than three (3) days prior to your event.

The hotel will deliver any exhibitor items that have been shipped to the hotel to your booth. Items will be delivered to your booth by 3:30 pm on 9/20/26.

Attendee Punch Cards

All attendees will be given a punch card at registration to encourage interaction at your booth.  Those who successfully visit each booth, will enter their card for a raffle drawing.  We’d like to ask that you initial your booth space in the area provided on the card.  Our goal is to provide an opportunity for you to meet and talk to all attendees.
